Job Description Summary
The Business Service Division (BSD) supports the individual and collective needs of the Penn community by promoting a hospitable, customer-friendly campus environment through the provision of mission-critical services and essential operations. BSD's mission is to provide high-quality service in a fiscally responsible manner. The Division is currently focused on three major initiatives: Revenue growth/retention through improved marketing efforts, extended services, and development of new distribution channels; driving productivity for the Division and its customers through the better use of technology, and enhancing service offerings through upgrades and expansions of facilities.

One of 18 departments in BSD, the PennCard Center provides identification cards and related services to the University community. PennCard seeks a team-oriented individual who will serve as the first point of contact for the PennCard Center, and provide courteous and professional customer service in a complex customer service environment to those needing assistance, information, and problem resolution.

Job Description

Responsibilities
  • Answer telephones and respond to inquiries.
  • Engage in front-line customer service interactions with members and guests of the University.
  • Produce identification cards (PennCards) for the University community.
  • Perform hands-on work with computers, database systems, and digital-photo imaging equipment.
  • Track customer service trends and support process improvement.
  • Answer questions regarding policies, procedures, systems, and processes related to the University's ID card services and related systems
  • Interpret/explain and implement policies.
  • Assist with documentation of operational processes and procedures.
  • Act as administrative support to PennCard office by performing daily reconciliations of PennCard related revenue; processing PennCash refunds and donations; notarizing documents (training provided); and processing mail-in and online requests for PennCard renewals.
  • Participate in, and coordinate, various projects with other departments that have special card production needs year-round, including the production and distribution of cards for summer and special programs, school-specific, first-year/new students, and other carding initiatives.


Qualifications
  • A High school diploma, or equivalent, with 1 to 2 years of progressive customer service experience, preferably in an academic setting, or equivalent combination of education and experience, are required.
  • Associate's degree and 1 to 2 years of experience preferred.
  • Post college training in customer service delivery setting preferred.
  • Knowledge of desktop computing required.
  • Demonstrated experience using database software & strong aptitude for learning technical systems & and software applications required.
  • Ability to comprehend the source data imports & work flow between systems that populate our databases.
  • Strong interpersonal skills, flexibility, and customer service orientation.
  • Must be well-organized & have the ability to prioritize tasks, & work with limited supervision.
  • Ability to resolve customer service issues, including the ability to troubleshoot & reconcile data discrepancies.


The PennCard office and its staff provide services that are considered essential to the University. Some overtime, weekend, and evening hours may be required during certain high-traffic periods for the University, such as new student move-in.
