Job Description Summary
The GSWS Program Administrator/FQT Center Administrator handles the general office administration for two cooperative campus entities: 1) The Penn Program for Gender, Sexuality and Women's Studies (GSWS) and 2) The Penn Center for Research in Feminist, Queer, and Transgender Studies; serves as the primary contact for undergraduate, graduate students, and faculty for both the Program and the Center; and providing administrative support to the GSWS Director, FQT Director, GSWS Associate Director, FQT Associate Director, and other Affiliates of both GSWS and FQT. Employee is responsible for developing and maintaining communications, fielding inquiries, and guiding both students and faculty through a variety of University policies, resources, and procedures. Employee handles student activity coordination and provides guidance to undergraduate and graduate students. Employee provides administrative support to GSWS Director and GSWS Associate Director as related to academic and curriculum planning. Responsible for coordinating human resource needs of GSWS and FQT, including assisting with faculty and staff searches, lecturer appointments, postdocs, visiting scholars and artists. Maintains and organizes all records with strict confidentiality. Acts as Program and Center point person to budget and finance areas within SAS, including being knowledgeable about Program and Center expenses. Working in conjunction with the Program's and Center's business office, arrange for reimbursements, payments, and procurements. Keep track of emerging needs of the GSWS and FQT. Be aware and respond to changing priorities and required resources for the Program's and Center's missions. Employee is also responsible for GSWS Program's and FQT Center's event planning and workshop coordination, as well as maintaining, updating, and developing the department website, email list serves and print communications. Must also understand and effectively communicate the scholarly and teaching missions of the Program and Center. Assignment is to work daily on campus in the GSWS Program/FQT Center administrative offices.

Job Description

The Penn Program for Gender, Sexuality and Women's Studies is an interdisciplinary program whose primary mission is to provide interdisciplinary training to graduate and undergraduate students on the ways that gender, sexuality, and race have developed and changed over time in their meaning, practice, and treatment. GSWS has 135 core and affiliated faculty from thirty-four departments-and ten of Penn's twelve Schools. The GSWS Program offers a major, a minor, and a graduate certificate.

The Penn Center for Research in Feminist, Queer, and Transgender Studies (FQT) supports academic research, artistic production, and public engagement on gender and sexuality studies. The FQT Center engages persons from across the university and the Philadelphia community through research initiatives, programming, and outreach. Each year, FQT hosts or co-hosts dozens of performances, screenings, panel discussions, lectures, seminars, workshops, and works- in- progress. We also Connect Penn faculty, staff, and students with the Philadelphia community through

outreach, public events, and partnerships with artistic and social justice organizations.

QUALIFICATIONS:

High School degree and 5 to 7 years of experience, or equivalent combination of education and experience, is required. Bachelor's Degree with 3 years to 5 years of experience is strongly preferred. Experience providing administrative support in an academic environment strongly preferred. Ideal candidate must possess strong organizational skills, strong written and oral communications skills, and the ability to prioritize and meet deadlines. Candidate must have a professional demeanor with the ability to provide excellent collaborative customer service to a diverse audience. Cultural sensitivity required. Financial experience, event-planning experience, and an understanding of academic and curriculum planning are preferred. Candidate should demonstrate an exceptional mastery of professional skills and the precise ability to handle situations with poise, understanding and tact. Candidate must exhibit respect for others, patience, diplomacy, compassion, and sensitivity in working with students, staff, faculty, and center affiliates. Prior administrative experience in a non-profit academic environment preferred.
