Job Description Summary
This position supports the operations and financial administrative needs of the Penn Vet Working Dog Center (PVWDC) and the needs of our sponsored research. The PVWDC is located at 3401 Grays Ferry Avenue in Philadelphia. The Operations and Financial Administrative Coordinator will handle invoicing vendors and tracking receivables, contracts support with partnering organizations and canine purchasers purchasing, sponsored research grant financial tracking, interact with business office on reimbursements and tracking expenses, and assist in the day to day operational activities of center and sponsored research.

Job Description

The duties of this position include financial reporting, purchasing, grant budget review, facility operations support and general administrative support. This position supports the general operations of the Penn Vet Working Dog Center, daily communication both internal and external and our sponsored research efforts.

Responsibilities include:
  • Assist in report management on behalf of the Center, managing expenses specifically for Center operations and grants and manage receipt and tracking of operating revenue
  • Handle purchasing for the PVWDC grants and operational needs and manage inventory
  • Handle contract support and invoices for individuals and organizations doing business with PVWDC
  • Coordinate and execute mailings and monthly outreach to PVWDC donors and stakeholders
  • Assist in the day to day operations of PVWDC including coordination of equipment needs, repairs and facility work orders
  • Manage the front desk of the PVWDC including answering phones, responding to general inquiries and mailings as it relates to our overall program
  • Perform other duties as assigned


This position is contingent upon grant funding.

Qualifications

A High School Diploma and 5 to 7 years of experience, or equivalent combination of education and experience, is required. Bachelor's Degree is preferred. The applicant should have excellent communication skills, be proactive, detail oriented and thorough as well as demonstrate excellent problem solving skills. Prior experience in financial reporting, administrative coordination, program operations and inventory/purchasing is critical. A proven track record in project management and achieving results in multiple projects with overlapping timelines is preferred. Familiarity with dogs and being comfortable around dogs is important.
