Job Description Summary
Penn Arts and Sciences forms the foundation of the scholarly excellence that has established Penn as one of the world's leading research universities. The largest of Penn's academic divisions, SAS is the home of 27 departments that represent a full range of disciplines. The College, SAS's undergraduate division, enrolls 6,500 students and is the largest undergraduate school at Penn. SAS also includes the Graduate Division, the College of Liberal and Professional Studies and numerous research centers and programs. The School's Office of Advancement recognizes the importance of the liberal arts as the source of knowledge that changes the world and education that changes individual's lives and is committed to generating enthusiasm and support for the School and its mission.

The Director of Programs and Events conceptualizes, organizes, and oversees a varied program of 50+ events per year, involving University and external VIPs, the School's Board of Advisors, faculty, donors, and alumni, in support of the goals and objectives of the School of Arts and Sciences. The Director is part of a multi-function team that includes communications, donor relations, graphic design, and digital media, and works closely with this team, the SASOA Engagement team, and the Executive Director to advance the reputation of the School and promote engagement among its supporters and alumni. The Director also collaborates closely with the Vice Dean, major gifts staff, and faculty, and manages the work of an assistant director.

Job Description

Principal Duties

Manage and support 50+ campus, stewardship, engagement, and cultivation events per year, including in-person, hybrid, and remote event formats, and working with faculty, donors, volunteers, students, SASOA staff, and vendors.

Work with development staff, Executive Director, and Vice Dean to plan annual events calendar and ensure that proposed events address School/SASOA goals and objectives; Manage the office-wide SASOA event schedule, identifying any possible conflicts with other University or DAR events and advising senior leadership on conflicts and potential personnel/staffing constraints.

Supervise the work of an associate director and student workers/interns on all aspects of event support. Provide high-level project management of the work of a cross-functional internal team to promote and support events, that may include writers, designers, social media, video production.

Secure venues, recruit speakers, and contribute to creative design of events to ensure compelling programs in all formats; oversee facility, menu, and speaker negotiation; work as needed with campus security, legal affairs, open expression and other departments.

Oversee processes involving event mailing lists, RSVPs, nametag production, and related tasks for major events. Identify and organize staffing needed for events, including student/volunteers when appropriate.

Manage the collection, assimilation and presentation of event data, including input from post-event debrief meetings with key event stakeholders; audience/participant surveys, event budgets and ROI, and make recommendations for improvements based on this information

Serve as the institutional resource to support departments and other SASOA staff members in designing events. Provide support, coaching and guidance to faculty, volunteers and staff who are engaged in event planning activities.

Lead and direct staff to achieve optimum results.

Qualifications

Bachelor's degree and five to seven years of experience with a proven track record in planning and managing special events from conceptualization to production required; experience specifically in alumni relations or development, and in dealing successfully with high-profile individuals, strongly preferred. Must have management experience and be able to supervise event staffing teams. Strong organizational skills and the ability to effectively manage multiple projects at the same time, work under tight deadlines, and remain flexible are critical, along with excellent communication and interpersonal skills required, with strong writing skills

Proficiency in Microsoft office and skilled in adapting to new technology tools; prior experience with project management software a plus. Successful candidates will also reflect the core operating values of the SAS Office of Advancement, which include: demonstrated mutual commitment to excellence; professionalism, creativity and adaptability; respect for the roles and responsibilities of individual members of the SASOA team; a collaborative and collegial style, and transparency in communication. Occasional weekend and evening work required; work at off-campus events required.
