Job Description Summary

The University of Pennsylvania Carey Law School Faculty Support staff play a critical role in providing a world-class educational environment, supporting our faculty in their teaching, scholarly, and community endeavors, working in a collaborative and ambitious environment.
Reporting to the Director of Faculty Support, the Administrative Coordinator effectively and efficiently completes a host of faculty projects.
The role is a full-time (35 hours/week with unpaid hour for lunch) position. The position is designed to be 100% on site and is not eligible for hybrid work.

Job Description

Responsibilities Include:

General Faculty Support:
- Represent the Faculty Support team to faculty members by creating a welcoming environment in the relevant offices; respond efficiently to all requests.
- Complete a host of projects upon request including formatting and printing letters, including clerkship recommendation letters; converting documents; editing of manuscripts and letters; answer phones and respond as appropriate to requests.
- Prepare course materials, including in PowerPoint and other visual approaches.
- Assist with exam preparation, distribution, publication to faculty, etc.; manage exam word count processes.

Digital Document Preparation:
- Serve as the lead on all requests for digital materials.
- Attempt to obtain digital copy/copies of the requested materials via the library or other sources. Scan and prepare materials in digital format if not available elsewhere.
- With the Faculty Support Director, consult frequently with faculty about their needs to scan and convert documents to digital format.

Material Preparation and Deliveries:
- Prepare printed materials for courses, board meetings, conferences, visitors, etc.
- Compile binders with title pages, tabs, etc.
- Prepare any materials for express or regular mail.
- Manage all deliveries to faculty offices and deliver materials around the Law School and around campus on request.
Faculty Office Needs:
- Ensure all faculty office requests are handled expeditiously, including by collaborating with ITS and Facilities on items such as repairs, hardware maintenance, paper supplies, etc. and by keeping offices stocked as needed.
- Prepare all offices for arrival of new faculty and visitors.

Miscellaneous Duties:
- Handle special projects and assignments on an as-needed basis.
- Serve as on-site back up for Faculty Support locations, providing presence and ease of communication to all faculty and staff on behalf of the Faculty Support team.

Qualifications:
Five to seven years of increasing responsibility in a fast-paced, customer service oriented administrative environment required; high school degree required, college degree preferred. Excellent ability to prioritize work and to communicate well with a wide variety of constituents required. Experience with Microsoft tools, including data bases; experience with course management software (Canvas or others) and/or scanning software a plus. Ability and interest in professionally representing the Faculty Support to all constituents, in person and in writing. Must be able to demonstrate commitment to discretion and ability to wisely handle confidential material, as well as strong customer-service ethic and excellent attention to detail. Excellent verbal and written communication skills required. We seek candidates who have established track records as collaborators in the workplace. Commitment to the University of Pennsylvania Carey Law School collaboration work environment and to the Staff Ideals is required.
