Job Description Summary
The Program Coordinator will provide the highest level of service to faculty, staff and program participants of Penn Dental Medicine's Center for Integrative Global Oral Health (IGOH). This position is responsible for developing and managing coordination of all program materials and initiatives of the Center. The coordinator will be the primary point of contact in fielding stakeholder and participant inquiries, providing continuous communication for the Center and its programs. The coordinator will work with the Executive Director and faculty of the Center during program planning and will work with the highest level of professionalism in an independent, self-directed manner. Coordinator will compete tasks in accordance with standard operating procedures to ensure a seamless, high quality program/Center delivery.

Job Description
  • Manages all aspects of conferences, events, programs, and meetings - both international & domestic. Supports the Center's operations, strategic initiatives, and projects; manages the coordination of special projects related to the Center -
  • Responsible for communicating and distributing information for the Center, including project documentation/proofreading, information tracking, and reporting; developing and maintaining communications, fielding inquiries, and guiding internal and external constituents to Center resources.
  • Manage departmental records and database of program initiatives and materials.
  • Establish, implement and manages operational workflows and efficiencies for a multi-faceted Center including travel planning, calendar scheduling, reimbursements, meeting preparation and managing various clerical duties.
  • Other duties as assigned.

The Program Coordinator will join an interdisciplinary team of dentists and faculty with deep experience in their fields. This is an ideal position for an individual seeking experience in a fast-paced, entrepreneurial environment and exposure to global oral health innovation.

The Program Coordinator must be able to handle confidential information with a high degree of professional discretion. Project coordination, execution, follow-through and extensive program planning expertise is required. The position also interacts with senior administrators, prospects, donors, faculty, alumni, board members, and senior government and corporate executives.

This position requires clear communication, flexibility & adaptability when working with various administrative tasks, projects, events, etc. Coordinate office administrative responsibilities by efficiently managing resources and demonstrating consistent service orientation.

A Bachelor's degree and 3 to 5 years of related experience in higher education, administrative support, or project management required.

The candidate will be well versed in Microsoft Office Suite and experience with Smart Sheets is preferred. Demonstrated ability to work well with diverse colleagues, clients and external organizations is integral to the position. The Coordinator must have a proven ability to work collaboratively and professionally with students, staff, visitors, faculty, outside partners, and international visitors. The Coordinator must exhibit a high degree of professionalism and sensitivity to the position as a role model for Penn Dental Medicine and a representative of the University of Pennsylvania's mission, values and goals.
