Job Description Summary
The College of Liberal and Professional Studies in the University of Pennsylvania's School of Arts and Sciences is dedicated to extending learning beyond traditional borders and engages a richly diverse population of intellectually capable students at many points in their lives. LPS programs include professional and academic programs (including study abroad and English language programs for international students and professionals), summer sessions, non-credit programs, workshops, and symposia. LPS programs all have a foundation in the arts and sciences. Each year LPS offers 600 credit courses for undergraduate and graduate, degree and non- degree students as well as non-credit courses focused on areas such as personal enrichment, professional development, and English as a second language.

Since 1937, the Fels Institute of Government at the University of Pennsylvania has pioneered the training and practice of public administration. Each Fels program is designed to help students achieve their academic and career goals and are taught by high-level practitioners and distinguished Penn scholars.

Job Description

The Assistant Director supports all aspects of project and events management for Fels, as well as outreach and community building with program stakeholders. Primary responsibilities include project managing a wide range of Fels events; implementing and managing systems across the Fels organization to support projects and events; supporting recruitment efforts to meet enrollment goals; creating and overseeing Fels' digital media presence and stakeholder communications; planning and delivering Fels events (over 50 annually); providing support for special initiatives such as alumni mentoring program and public symposia; and serving as liaison with Fels student groups and the larger Fels student community to increase engagement with Penn and Fels.

Responsibilities:
Event Management: Manage a wide variety of Fels events from strategic planning to execution through follow-up. Examples include orientation, graduation, recruitment events, external speakers, professional lunches, conference, trips. Develop a strategic events calendar that is aligned to goals and outcomes and project manage stakeholders to desired outcomes. Oversee event budgets. Provide logistical and staffing support for events, registration and tracking; work with Administrative Coordinator on room/space reservations, catering, AV and materials for events.

Recruitment: In collaboration with Director and Associate Director, support and participate in all stages of student recruitment and admissions processes. Meet application and enrollment targets by effective communication with prospects. Provide professional customer service and respond to inquiries via phone, walk-ins and email. Create plan for, organize, and staff recruitment events, such as graduate fairs, Walk-In Wednesdays and information sessions. Follow up with qualified prospects and partner organizations to increase yield for full-time and executive MPA tracks. Use Fresh Desk, College Net, HubSpot and other tools to track and improve effectiveness of recruitment initiatives.

Marketing & Communications: Manage Fels social media accounts; post news and other items regularly; develop content ideas and write weekly e-newsletter (This Week at Fels); serve as liaison to LPS marketing team and oversee updates to Fels website. Goals are to increase awareness, brand and reputation of Fels with internal and external audiences.

Student Services: Serve as primary liaison for Fels student clubs and overall student community; help students organize events, connect them with student government and other appropriate campus offices, and ensure they adhere to Penn policies and procedures. In collaboration with Director and Associate Director, support student advising and services, instructor and faculty relationships, alumni events, course planning, graduation auditing, and other related duties. Facilitate students groups and extracurricular opportunities that improve the student experience, including managing online student community platform.

Systems and special projects: Design and implement teamwide systems to support communication and goals (for example, internship tracking, recruitment surveys, etc.). Provide research and support for Fels director, associate director and professors of practice on special projects and initiatives. Support academic administration as needed.

Qualifications
  • Bachelor's degree and minimum of 2-3 years of professional experience in relevant positions or equivalent combination of education and experience, including experience managing complex events or projects with multiple stakeholders and a track record of strong results.
  • Excellent organizational skills, time management skills and attention to detail. Comfort in fast paced environment and multi-tasking.
  • Systems orientation and strong computer/technology skills. Proficiency in Microsoft Office suite, and a willingness to work with new software and technology.
  • Strong ability to simplify and systematize tasks and processes. A proactive, analytical problem solver.
  • Strong goal and results orientation. Strategic thinking, sound judgment and discretion with access to sensitive information.
  • Excellent oral and written communication skills and excellent interpersonal skills; ability to manage multiple stakeholder relationships and communicate effectively with diverse audiences.
  • Qualified candidates must be willing to work occasional nights and weekends.
