Job Description Summary

The Employer Relations Coordinator is an integral member of the Employer Relations team. The coordinator supports the Employer Relations Manager in scheduling employer information sessions and on-campus interviews utilizing Penn's recruiting software platform, Handshake, plays an integral part in organizing career fairs, and manages the employer approval process in Handshake. The person hired must be able to work a variable work schedule depending on time of year (11:00 am - 7:00 pm during recruiting season and 9:00 - 5:00 when no recruiting is occurring).

Job Description

The Employer Relations Coordinator is an integral member of the Employer Relations team. The coordinator supports the Employer Relations Manager in scheduling employer information sessions and on-campus interviews utilizing Penn's recruiting software platform, Handshake; plays an integral part in organizing career fairs; and manages the employer approval process in Handshake. Manages the interview suite and serves as a main point of contact for students and employers participating in on-campus recruitment activities. Prepares interview suite for next day interviews and assists with schedule-printing process. Manages interview add-ons and cancellations. Coordinates daily front desk coverage in recruiting suite during recruiting season and provides coverage when needed. Provides coverage for main Career Services reception area as needed outside of the on-campus interviewing season.

Creates reports via Excel to track, compile, and analyze recruiting data used for planning and decision making. Updates the employer relations website as needed. Assists in creating employer-focused newsletters. Hires, supervises, and trains student workers. The coordinator has extensive phone, email, and walk-in contact with students and employers. Explains recruiting services and policies to employers and students, and refers them to appropriate advisor(s) as needed. Troubleshoots scheduling conflicts before and during day of interviews and information sessions. Works closely with Employer Relations Manager to plan and facilitate employer treks and other employer-focused activities. Assist and collaborates with other Career Services team members to plan and facilitate mock interviews, day-after career fair interviews, and other career services recruiting events. May serve on an office or divisional committee or working group.

  • A Bachelor's Degree is required and 1 to 2 years of work experience (which could include internships) is preferred.
  • Intellectual ability, cultural competency, and excellent communication/social skills to handle a wide variety of questions from a varied and sophisticated audience.
  • Previous experience using Microsoft Office (Excel, Access, PowerPoint) is required. Experience with design software such as Adobe Creative Suite or Canva and familiarity with social media helpful.
  • Demonstrated ability to learn new technologies quickly. Experience with recruiting software is helpful.
  • Ability to understand basic statistical concepts in order to assist in the preparation of survey reports.
  • Exceptional ability to multitask and remain calm in a fast-paced environment with frequent interruptions.
  • Excellent organizational skills including previous experience with event planning.
  • Ability to set and adjust priorities, learn new information quickly, be proactive and take initiative, as well as work both independently and as part of a team.
  • Strong writing and communication skills.
  • Professional and friendly demeanor needed.
  • Must be able to work a variable work schedule depending on time of year (11:00 am - 7:00 pm during recruiting season and 9:00 - 5:00 when no recruiting is occurring).
