Job Description Summary
The Master in Law (ML) program is an innovative, interdisciplinary program, through which academics, professionals and graduate students pursue a Master in Law degree, Certificate in Law or ad hoc coursework on a variety of topics at Penn Carey Law. The ML Program mission is to provide legal education to highly qualified professionals, scholars and students from many disciplines, enabling them to inform their work and scholarship with law, thus enhancing their research, career preparation and performance.

The Administrative Coordinator is a part-time position which plays a central role in the department by serving as the Program's primary administrative support professional and as such is vital to the success of the ML program. The Administrative Coordinator for the Master in Law Program provides high-level administrative support and project management to the Master in Law Program at Penn Law. The incumbent will engage in a wide range of activities including administrative support, interaction with students, faculty, and staff on campus and at local events. The position also interacts with senior administrators, law school and university colleagues, prospective students and business contacts, faculty, and alumni. The Administrative Coordinator interacts with important external constituents, and therefore must prioritize while delivering a very high level of service. Responsible for developing and maintaining communications, fielding inquiries, and guiding both graduate students and faculty through a variety of University policies, resources, and procedures.

In addition to providing general administrative support to the ML Program, the successful candidate will support the ML Program in the following areas: event planning and execution, communications, marketing and student recruitment, data collection and ongoing special projects.

The Master in Law (ML) program is an innovative, interdisciplinary program, through which academics, professionals and graduate students pursue a Master in Law degree, Certificate in Law or ad hoc coursework on a variety of topics at Penn Carey Law. The ML Program mission is to provide legal education to highly qualified professionals, scholars and students from many disciplines, enabling them to inform their work and scholarship with law, thus enhancing their research, career preparation and performance.

The Administrative Coordinator plays a central role in the department by serving as the Program's primary administrative support professional and as such is vital to the success of the ML program. This is a part-time position requiring a commitment of 17.5 hours of work per week. As a regular part-time staff member, you will be eligible for limited University benefits .

Responsibilities include:

Administrative support of ML Program and staff

-Provide full range of administrative support across the ML program and team.

Coordinate planning calendars, schedule and set reminders for full range of ML Program activities including upcoming events, projects, deadlines, meetings, presentations, conferences, recruiting and other initiatives.

-Provide ML degree and Certificate in Law application support.

-Ensure timely, accurate communications and follow up regarding full range of Program inquiries and support needs of students and stakeholders.

-Other administrative duties as assigned.

Event Planning, Coordination and Support

-Coordinate and support the full range of ML Program events, serve as the primary administrative contact for event planning including calendaring, space reservation, invitation creation and distribution, managing related communications, RSVPs, catering orders, P.O.s and payment, setup, breakdown and necessary follow up.

Communications Support

-With a strong command of ML Program details respond to departmental email account and phone inquiries, connecting contacts with the appropriate resources, support, staff. Answer questions and provide needed support to full range of inquiries as appropriate.

-Evaluate incoming challenges, concerns, opportunities from current and prospective students and stakeholders, connecting them with appropriate resources and staff to ensure satisfactory resolution of the issue.

Marketing, Recruiting Support

-Create and maintain updated recruiting, leads listservs.
-Work with vendors to supply program materials and comply with necessary administrative process and approvals for placement of these materials, execute placement and removal of materials.

-Arrange, support and attend ML program information sessions and various recruiting events (virtual and in person) on and off campus. Staff tables, obtain necessary materials and speak to public at recruiting events.

Data collection, entry

-Collect and enter necessary program data into Program spreadsheets, tracking and reporting documents and related support.

-Using Excel, PowerPoint and Adobe, support outputs for use in assessment, evaluation, planning, and reporting on aspects of the ML program for internal use and strategic planning.

Special Project Support

-Coordinate and collaborate with team on special projects ranging from events to gathering data to creating program materials, bio summaries other Program publications.

Other duties as assigned.

Candidate Qualifications:

  • BA/BS required. Relevant experience is a plus.
  • Must work well with others in a team setting, provide quality customer service and support in a professional academic environment with an interest in student-centered programs and services.
  • Must be an independent self-starter, diligent, flexible, innovative, collaborative, able to prioritize, multi-task and be attentive to detail.
  • Experience with the following is a plus: social media, events planning, office technology, tools and platforms including Canva, MailChimp, LiveWhale, CVENT, CMS, Excel, Acuity, Power Point.
  • Must be willing to staff evening and occasional weekend events and interact with the public.
