Job Description Summary
The VISTA Operations Coordinator will provide additional staff support for PHENND's large AmeriCorps PHENND Fellows VISTA Program. The Operations Coordinator will assist the VISTA Program Manager with key aspects of the program namely: VISTA recruitment, data collection, progress monitoring, training and professional development, systems development and maintenance, site support, and financial/administrative tasks. Emphasis will be on the consistent implementation of various systems developed to ensure a successful program year for each successive cohort of VISTA members, with special focus on continuous improvement.

Job Description

PHENND is a network of over 25 colleges and universities that strengthens service-learning, civic engagement, and community partnership in Philadelphia, connecting academics with community involvement. Every year, since 2012, PHENND has recruited, trained, placed, and supported a cohort of talented and passionate AmeriCorps VISTA members through its PHENND Fellows VISTA program. The members serve in schools, School District offices, and a variety of non-profits to address issues of poverty and leverage the power of community partnership.
Duties​ of VISTA Operations Coordinator

  • VISTA Recruitment - lead effort, with support from the VISTA Program Manager and VISTA Leaders, to recruit a full cohort of 43 VISTAs for the upcoming program year.
  • Data collection and progress monitoring-- Oversee monthly and quarterly reporting from VISTAs and site supervisors, assist Program Manager with reporting to CNCS. Track attendance at all trainings and events.
  • VISTA Training and Professional Development - Play a key role in the orientation and training of VISTA members. In collaboration with VISTA Program Manager, design overall schedule, support implementation. Under the guidance of VISTA Program Manager, support the VISTA Leaders in their activities such as building lesson plans for training and workshops, as well as training logistics (room reservations, catering, video conferencing)
  • Systems Development/Maintenance - Organize institutional processes and documentation such as creating orientation and training calendars, creating manuals for VISTA process such as recruitment and orientation, designing templates such as the transition binder template, and maintaining electronic file organizing for VISTA program.
  • Financial/Personnel - support agency director with VISTA Payroll process by serving as a back-up payroll administrator. Handle bi-weekly tracking of reimbursements to VISTAs and/or purchasing of SEPTA Keys, grocery subsidies, and other small one-time purchases such as workshop registrations. Track VISTA attendance at all trainings and events as well as personal leave. Additionally, play primary role in collecting and maintaining personnel files (clearances) and other paperwork required for VISTAs as per external partner requirement.
  • Site Support - Particularly for the nonprofit sites, support VISTA program manager with development of job descriptions and VADs (including entry of relevant information into eGrants); assist Program Manager with quarterly site supervisor training. Participate in the selection process for all VISTA host sites (reviewing applications, communicating with applicants, providing feedback to applicants).

A Bachelor's Degree and a minimum of 1 to 3 years of experience or an equivalent combination of education and experience are required. The ideal candidate should meet the following criteria:

* Exceptional communication and realtionship-building skills.

* Excellent writing skills and attention to detail.

* Experience with data collection, iterative program assessment, and data-informed decision-making.

* Flexible, creative, and innovative thinker.

* Able to maintain focus under pressure and adjust to accommodate program and client needs.

* Facility with Microsoft Word, Excel, Google platforms, and ability to quickly learn other web-based programs.

* Solutions-oriented problem solver. Strong decision-making skills and ability to work both independently and collaboratively.

* Passionate about National Service generally and PHENND's mission specifically.

Salary for this position is expected to be within the range of $36,401 to $50,961
