Job Description Summary
Reporting to the Sr. Director of Development and Alumni Engagement for the School of Nursing, the Associate Director, Alumni Engagement will plan and execute a comprehensive program of alumni engagement with a major adjoining responsibility for the School's alumni-related events. As a core member of the Nursing Institutional Advancement Office and primary liaison/ leader for alumni programming and support, the Associate Director will work across OIA units (MARCOMM and Events) on behalf of Penn Alumni. The position will receive partial administrative assistance from the OIA administrative coordinator, who also supports the entire office.

Job Description

Duties:

Manage Penn Nursing Alumni Board and committees to inform, develop, support and enhance/expand alumni engagement activities for Penn Nursing:

  • Identify Alumni Board President and vet with OIA Leadership and the Dean
  • Partner with President on goals, strategy, and membership
  • Connect regularly with Communication Chairs to meet goals
  • Regularly communicate with Board members (group email updates)
  • Provide scheduling and meeting logistics support (location, parking, food, RSVPs) and work with Pres to set agenda.
  • Facilitate attendance of Dean and Vice Dean to attend 1/mtg annually
  • Connect Pres and Board to Penn Alumni and OIA resources and opportunities
  • Support connections between the Alumni Board and the School's Board of Advisors
  • Work to heighten visibility and strengthen the impact/footprint of the Alumni Board within Penn Nursing and beyond


Serve as liaison to HUP Alumni Board to provide a home for HUP Nursing alumni (e.g.

engagement with Penn, archives, funding, etc.):

  • Conduct orientation mtg with new president (every 2 years)
  • Touch base regularly
  • Attend 1-2 HUP Board mtgs/year
  • Work with Reunion committee and reunion groups
  • Provide logistical support for their monthly mtgs


Oversee/plan Alumni Weekend and alumni specific OIA Events, e.g., Penn Alumni

Programs and Special Events for visibility with Penn Alumni and to engage with undergraduate
alumni.


  • Determine special reunion groups and/or occasions
  • Plan + promote schedule of events
  • Develop staffing schedule and attend events


Manage/plan all alumni events (with support of the Events team as appropriate) e.g., Conference

Meet Ups; Regional Happy Hours; Homecoming; Penn Nursing on the Road (Dean and Faculty events to offer alumni educational content and networking opportunities:

  • Determine which conferences and regions to target; set budget and estimated attendance.
  • Identify date/time
  • Identify host and/or plan to travel, speakers
  • Work with Events on logistics
  • Work with Admin Coordinator on email blasts + RSVPs, target audience; request graphics
  • Provide briefings, remarks, and other materials
  • Ensure post event process followed - track attendees, update data


Alumni Content Delivery (eNews, alumni profiles Alumni Notes+, email blasts) to provide alumni

with timely information and vehicles to share their news:

  • Schedule, plan (develop) and review email blasts for upcoming events and news
  • Monthly: Suggest content for and review eNews and alumni profiles
  • Biannually: Review alumni notes
  • Determine content needs
  • Plan schedule
  • Develop or review content


Manage Alumni LinkedIn (and provide other related social media assistance) e.g.

providing real-time, accessible site to share job postings + professional content with alumni to serve as source for alumni professional data:

  • Bi-Weekly: post job notifications and other alumni content; review interested members, update Atlas with member info
  • Receive and post info
  • Recruit alumni or faculty to co-manage specialized program groups


Alumni Website - working in collaboration with the OIA Marketing unit:

  • Weekly: add + update alumni events on web
  • Monthly: Update and review alumni content pages
  • Annually: Review website needs
  • Ensure all events are added to web once confirmed
  • Update event content as needed
  • Review alumni webpages to update content as needed


Data management + Analysis:

  • Ensure accurate alumni data, analyze data for trends and feedback, and supply access to alumni data, as appropriate
  • Determine various sources of data (events, alumni notes, profiles, emails, award nominations, faculty shadow lists)
  • Ensure data is properly tracked and used to update Atlas
  • Consult with Sr. Dir to analyze and interpret data


Oversee Alumni Interest Group Development (Grad programs, Hillman, Veterans, Doctoral, Gutmann Leadership Scholars, etc.):

  • Develop focused connection points for alumni with shared goals and needs
  • Determine interest and resources
  • Plan opportunities for connection
  • Work internally to determine who owns outreach and support those efforts


Plan and host Alumni Webinars to provide learning opportunities and news to alumni wherever

they live:

  • Determine annual plan
  • Ask speakers and confirm dates
  • Develop titles and advise on content
  • Invite alumni to participate
  • Send follow up emails and identify potential prospects for fundraising staff


Plan/conduct student outreach events to make students aware of alumni as resources for their

current situation and to instill a lifetime of connection and loyalty to Nursing:

  • Bi-annual: welcome back tables
  • Annual: Career Day table
  • Possible Wellness Week collaboration event
  • Calendar events
  • Line up volunteers
  • Work out logistics and materials, giveaways
  • Conduct and oversee student/alumni mentorship program


Serve as liaison to Penn Alumni to ensure Nursing's visibility in Penn Alumni events and programs; to learn best practices, policy and build opportunities for expanded impact.

  • Respond to requests and build relationships with Penn Sweeten Alumni House Staff
  • Attend quarterly ARG meetings
  • As needed: special event/program mtgs, respond to requests for volunteer suggestions, etc.
  • Monthly: send alumni news to Gazette


Qualifications:

BA/BS required with at least 3 - 5 years of experience (Alumni Officer B) or 5 - 7 years of experience (Alumni Officer C) in development and alumni relations or equivalent combination of education and experience; expertise in special events planning and/or volunteer management in a university setting preferred.

Ability to work independently with a minimum of supervision and to create new programs to meet the School's goals of improved alumni relations.

Excellent communication skills.

Interpersonal skills; ability to work well with individuals at all levels including alumni, staff and faculty.

Some managerial experience preferred.

Strong organizational skills, self-motivation, attentiveness to details and deadlines.

Skilled in all major computer programs (Microsoft Office Suite, database work, etc.)

Must be willing to travel. Some evening and weekend work will be required.
