Job Description Summary
Under general supervision and in accordance with University and College Houses and Academic Services (CHAS) policies and procedures provides financial and administrative support to CHAS Central Office and College House staff to ensure efficient and timely operations. This includes processing and monitoring of financial activities such as purchasing, accounts payable, travel reimbursements, journal entries and payroll activities

Job Description

Responsibilities:

  • Process payroll related activities from requisitioning to onboarding, to reviewing/approving weekly time for student worker/work study students and work study related processes.
  • May provide back up support for business administrator in approving time for weekly-paid non-exempt full-time staff. Assists in the processing of special payments which include but may not be limited to payments for College House Research Fellows, Modern Language Program, College House Film Festival)
  • Processes purchase order requests and assists in maintaining all purchasing related documents/record keeping.
  • Assists with the administration of the Student Program Card program which can include: assisting with tracking the completion of training for potential cardholders, reviewing the list of eligible cardholders, distributing new cards, collecting, logging, and destroying cancelled cards. Tracks submission of Student Program Card reconciliations.
  • Submits travel and expense reimbursements via the Concur Travel and Expense Management System. Ensures requests are accurately entered and appropriate documentation is submitted.
  • Processes journal entries and procurement card reallocations and deposits as needed utilizing Ben Financials. Runs Ben Financials reports as needed. Routinely running open encumbrance reports and summary budget reports for the College Houses.
  • Provides back-up support for House financial activities in the absence of a House Coordinator.
  • Participates in annual CHAS financial training and ad hoc training. Maintains current knowledge of University and CHAS policies and procedures. Serves as a resource to CHAS staff, faculty and students as appropriate. Triages and handles inquiries and provides accurate and timely responses to inquiries.
  • Provides front desk reception and other administrative support as needed. On occasion may be required to run errands and lift objects 25 lbs or less.
  • Perform additional duties as assigned


Qualifications:

High School Diploma or GED required and 3-5 years of experience or equivalent combination of education and experience (preferably in a University setting). Bachelor's Degree strongly preferred. Proficiency in Microsoft Office (Word, Excel, Powerpoint) experience with email programs such as Outlook. Experience with University financial systems, including Workday, Ben Financials and Concur Travel and Expense Management Systems highly preferred. Must possess sound organizational skills with attention to detail. Candidate must possess excellent written and oral communication skills and be able to communicate effectively with staff, students and faculty. Maintains confidentiality of information.
