As an office of academic services departmental administrative assistant, you will promptly support student needs and respond to all questions. In initiatives and ongoing collaborative projects, you will support departmental leadership - including the senior vice president, vice president, and academic operations managers. Your responsibilities will include classroom scheduling, extended learning opportunity and workshop scheduling, SCAD Day building preparations, and acting as the point of contact for physical resources. You will also manage incoming mail and routine correspondences, maintain an organized file/records system, and manage the calendars/schedules of department leaders.

In this position, you are responsible for handling alumni and professional mentor visitations, including itinerary curation and travel arrangements. Greeting and directing visitors to appropriate areas and managing supply inventories and equipment maintenance will be required. You will manage display spaces with departmental leadership to showcase outstanding student work by coordinating with the physical resources and housekeeping teams to make buildings student-ready. As the administrative assistant, you will schedule department meetings, prepare agendas, reserve facilities, and record/transcribe minutes. Additional duties in this role include coordinating quarterly reports from faculty to create a draft for leadership approval, managing end-of-quarter documentation processes, and overseeing the communications team during the photographing of outstanding student work.

The successful candidate will play a crucial role in maintaining the confidentiality of departmental information and ensuring that all deadlines are met. They should be able to work effectively independently and as part of a team, demonstrating punctuality, responsiveness, and accuracy in all tasks. Excellent communication, organizational, and computer skills are required, particularly in Microsoft Office and Banner. The successful candidate should be adept at managing multiple priorities and committed to upholding professionalism, honesty, and integrity in all aspects of their work.

Minimum Qualifications:      
  • One year (min.) of related experience

Preferred Qualifications:      
  • Bachelor's degree
  • Successful work experience in an academic environment

Certificates, licenses, and registrations: 
  •  Valid driver's license

Travel Required:  
  • Less than 10%

Work Hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
