Job Description Summary
The IBI Director of Administration/Chief of Staff performs a broad range of administrative and communication functions to support and promote The Institute for Biomedical Informatics (IBI) and its Director. The primary function of this position is in managing the organization of the Institute, including responsibilities for: obtaining and integrating information from IBI Executive Committee and faculty to help with ongoing strategic planning, outreach, and education; organizing meetings for the IBI Leaders and helping the IBI Centers and cores administer their organizational needs; development and execution of communications strategies for the IBI, organizing symposia and board meetings, overseeing development of content and maintaining the IBI web site, science writing and social media accounts. The IBI Director of Administration will routinely talk with the Director, scientists and clinicians within the IBI, be familiar with their research and health benefit implications at an educated lay level, and act as a liaison to communicate such advances to IBI stakeholders and interested parties, including the IBI leadership, the IBI advisory boards, the Development office, the Penn Center for Innovation, the press, the IBI web site, and potential donors. The IBI Director of Administration will work with constituents across the University (particularly the Development and Communications Office) to promote the profile of the IBI. They will also oversee Administrative Support provided to the Institutes Cores and programs. This person must be able to work independently yet be highly collegial and professional. Position contingent upon continued funding.

QUALIFICATIONS: (Qualifications should clearly indicate those that are required and those that are preferred.)

  • Bachelor's degree and 3-5 years experience or equivalent combination of education and experience required. 7-10 years of management, business and/or academic experience preferred.
  • MBA or PhD preferred, BS Required.
  • Strong management & leadership skills; strong strategic vision experience
  • Demonstrated project management and organization skills with the ability to think high-level and execute on the details. Proven ability to exercise good judgment, take initiative, and make independent decisions.
  • Experience in building and managing relationships with stakeholders, leading multidisciplinary teams, and developing organization-wide strategies.
  • Experience with licensing, partnerships, industry/institution alliances, start-ups, and angel and venture investment a plus.
  • Ability to work with and communicate effectively at all levels within the organization from senior management to technicians.
  • Ability to move multiple projects forward at the same time while remaining on point with the IBI mission.
  • Ability to work independently, constantly looking for new capabilities to grow the IBI.
  • Available during non-traditional work hours including evenings/nights and weekends. Willing to travel.
