Job Description Summary
The Institute of Contemporary Art at the University of Pennsylvania is an incubator of ideas, a laboratory where experimentation and risk-taking are part of its DNA. As a non-collecting institution, we have long championed under-recognized artists and diverse voices with projects that further an exchange of ideas around art and society and help to frame and reframe our understandings of the world.

Reporting to the Dorothy & Stephen R. Weber (CHE '60) Curator, the part-time temporary position in the Curatorial Department will provide administrative and logistical support for ICA's RAW Academie, Session 9: Infrastructure, a multifaceted exhibition that functions as a program series and study session. The project coordinator will work closely with the curator to coordinate a group of international students, visiting artists, and partners at Penn and the Philadelphia community in the lead-up and realization of the project. Duties include: general administrative, programmatic, and logistical support, correspondence, scheduling, booking travel, research, recording and disseminating minutes, assistance with expenses and tracking budgets. Candidate should possess excellent organizational and communication skills. Familiarity with Penn, the Philadelphia art scene, and the West Philadelphia community are a plus.

Job Description

Researching, booking and coordinating travel, per diems, accommodations, food, and field trip logistics. 25%

Correspondence with fellows and visiting faculty members re: logistics, visa

letters, etc. and the production of a welcome packet. 20%

Working alongside the curator to coordinate and liaise between ICA, RAW, UPenn and Community Partners. 15%

Assistance with public events and day-to-day needs of the Academie session. 15%

Attending and taking minutes at meetings. 10%

Assisting with the organization and production of website assets and session booklet. 5%

Tracking expenses within the project budget. 5%

Perform additional duties as assigned. 5%

The ideal candidate for this position will have strong communication and organizational skills, work well in a team environment, and will have the management acumen and keen eye for detail required for the oversight of key projects and departmental administration.

Familiarity with Excel, Word, PowerPoint/Keynote, Microsoft Office 365, Adobe Suite, Google Drive, and Outlook will be beneficial.

Potential to work nights and/or weekends throughout the year.
