Job Description Summary
Communications and Operations Associate

The Associate is a generalist reporting directly to the Director of Fiscal Operations and responsible for supporting the Strategic Priorities of the Senior Executive Vice President by efficiently and professionally collaborating with the Office staff for the following: Reporting and Analysis: Working closely with the Director of Fiscal Operations, the Associate conducts quantitative and qualitative research and analysis for benchmarking and supporting the production of executive level reports; Communications: Working closely with the Assistant Vice President, the Associate researches, writes/edits executive level communications material, including: memorandum, correspondence, slide presentations, and scripts/talking points for internal stakeholders (e.g. Penn Trustees, administration, staff, faculty, students) and external stakeholders (e.g. local community, civic, and professional organizations). Other examples of communication products include the Senior Executive Vice President's quarterly newsletter, social media and website, and as needed interfacing with news media outlets in general support of the Office's media relations, marketing and advertising. Programs and Events: Working closely with two Executive Assistants the Associate supports the planning and facilitation of events and programs hosted by the Office.

Job Duties:

  • Reporting and Analysis:
    • Collect, organize and perform analysis of quarterly operational metrics for reporting to senior leadership.
    • Assist in creation of monthly marketing communications reports that include tracking key metrics such as web and social media analytics, public relations outreach, events, and advertising reach.
    • Support other initiatives that combine qualitative and quantitative research and analysis to produce reporting for senior leadership.


  • Communications Support:
    • Writing and Editing: Produce correspondence, memorandum, reports, talking points, fact sheets.
    • Presentations: Research, develop and produce slides for executive level presentations.
    • Advertising: Coordinate and traffic the placement of ads in media outlets, liaison between office and the media outlet, coordinate placements, payments, scheduling, etc.
    • Online Communication: Support the management of existing content and create new content on office website as needed, drive viewers to the website through regular social media postings and liaison with and collaborate with other Penn offices for coordinating and amplifying content.
    • E-Newsletter: Support the Office in the production and distribution of the quarterly newsletter including, fact checking, writing, editing, etc.
    • Support Strategic Planning: Support the Assistant Vice President in the development and updating of the annual marketing communications strategic plan and the Director of Fiscal Operations in the development of annual strategic priorities for the Senior Executive Vice President; collaborate on the production of quarterly and annual reports for both plans.
    • Support of General Projects: Support general operations of the Office as needed, including liaising with visitors and stakeholders to the Office, support planning and development of programs and events hosted by the Office, attend meetings as needed and document/memorialize information as needed, and other duties as assigned.


Qualifications

  • Bachelor's Degree required; concentration in communications, marketing or business administration or relevant 2-4 years related experience.
  • Demonstrated experience in quantitative research and analysis
  • Demonstrated experience in writing and editing
  • Demonstrated proficiency in presentation production
  • Experienced in online communications including website content development and management and creating and managing content for social media posts
  • Strong organizational, project management skills and attention to detail.
  • Interest in higher education administration
  • Advanced skills with PowerPoint and Microsoft Excel
