Job Description

The Administrative Coordinator, Global Programs and Lifelong Learning is a member of the Alumni Relations team who provides administrative support for all global programs and lifelong learning, including the Wharton Global Forums. As the coordinator, you will work with a team of four people, report directly to the Director, Global Programs and Lifelong Learning, and support processes, procedures, and communications for the Global Programs and Lifelong Learning team, including but not limited to:

  • Managing day-to-day operations, communications, and general administration for Lifelong Learning programs such as Global Forums, Wharton Webinar Series, and Wharton Women's Circles (WWC). This includes monitoring and reviewing website updates, registration, and event data as well as tracking faculty, speaker, sponsor, and related volunteer communications and stewardship processes.
  • Overseeing the Lifelong Learning team budget including faculty compensation, reconciliation, tracking, and planning, including the processing and reconciliation of Global Forum invoices/POs and other related expenses on Global Forum budgets.
  • Scheduling and coordinating team travel and expense reimbursement as well as group meetings with the Global Forum committees/sponsors, WWC facilitators/contributors, and other external alumni/parties, as needed.
  • Participating on the Alumni Relations virtual help desk team, when needed, and managing and completing all alumni inquiries during assigned help desk days.
  • Collaborating as a member of the Alumni Relations team and larger coordinator team across External Affairs as well as assisting with office-wide needs, including front desk coverage for the office, staffing events, and general administrative duties as needed.


Qualifications:

A High School Diploma or GED and 5-7 years of experience or equivalent combination of education and experience is required; Bachelor's degree is preferred. Strong written and verbal communication skills are required along with proven attention to detail, creativity, strategic thinking, and organizational skills. Ability to manage programs, multiple priorities, projects, and deadlines is required. Experience managing a complex budget highly desired. Strong initiative and decision-making skills and ability to work independently as well as with a team. Competency with computer software is essential, especially Word, Excel, Outlook. Knowledge of international cultures and confidence and maturity to work with senior alumni and administrators is highly desired. Ability to work occasional evenings and weekends.
